SMS Terms and Usage Policy

This SMS Terms and Usage Policy (“Policy”) governs the use of text message communication between clients and case representatives at Immigrant Justice Corps (“IJC”). By engaging in SMS communication with our staff, you agree to the following terms and conditions:
1. Authorized Use
SMS messaging is intended solely for:
- Scheduling and confirming appointments
- Providing limited case updates
- Responding to client inquiries
- Requesting basic follow-up information
- Sharing reminders and general notifications
SMS is not a substitute for formal case communication and should not be used to submit complaints, appeals, or time-sensitive legal or financial documentation.
2. Client Responsibilities
By using SMS to communicate with IJC, you agree to:
- Use respectful and appropriate language
- Keep personal messages brief and relevant to your case
- Avoid sharing confidential, sensitive, or protected information via text (e.g., Social Security Numbers, financial details, protected health information)
- Notify us immediately if your mobile number changes or is no longer secure
3. Response Times
While we strive to respond promptly, SMS is not monitored 24/7.
- Standard response times are within 24 Business Monday–Friday, 9:30 AM–5:30 PM. Summer Hours between Memorial Day and Labor Day are Monday – Wednesdays 8:30 am – 6:30 pm and Thursdays, 8:30 am – 5:30 pm.

4. Opting Out
You may opt out of SMS communication at any time by replying “STOP” to any message. You may re-enroll by sending “YES” or contacting us directly.
5. Security and Confidentiality
While we take precautions to safeguard communication, SMS is not a fully secure medium.
- Avoid sending sensitive or private information via text.
- We are not responsible for third-party interception or unauthorized access due to mobile device settings or compromised phone access.
6. Recordkeeping
All SMS communications may be documented and stored in our secure case management system for quality assurance, legal compliance, and internal review.
7. Prohibited Conduct
Clients may not use SMS communication to:
- Harass, abuse, or threaten staff
- Send spam, offensive, or inappropriate messages
- Transmit any information that is false, misleading, or unlawful
Violations may result in the suspension of SMS privileges and could impact your client relationship with IJC.
8. Policy Changes
IJC may revise this policy at any time. Updated versions will be available on our website and may be communicated via email or SMS.
